COMPLIANCE

The Compliance section is used to manage your organisation's own compliance records, ensuring that licences, insurances, and other required documents remain current and available when requested by clients, contractors, auditors, or regulators.

Maintaining up-to-date compliance records helps demonstrate that your organisation meets contractual, legislative, and workplace health and safety requirements.

Typical compliance records include:

  • Contractor Licences
  • Public Liability Insurance
  • Workers Compensation Insurance
  • Professional Indemnity Insurance
  • Industry Accreditations
  • Safety Management System Certifications
  • Other organisation-specific compliance documents

Compliance Register

The Compliance Register provides a central location for viewing and managing your organisation's compliance records.

From the register, users can:

  • View the status of compliance items
  • Access supporting documents
  • Identify incomplete or expired records
  • Monitor upcoming renewals
  • Maintain evidence of compliance requirements

Compliance items are typically assigned a status such as:

  • Current
  • Incomplete
  • Expired
  • Under Review

This enables administrators to quickly identify records that require attention.

Compliance Statement

The Get Statement function generates a Compliance Statement for your organisation.

When selected, an email is sent to the user's registered email address containing a secure link to the Compliance Statement.

The Compliance Statement provides a consolidated view of the organisation's compliance profile and can be used to:

  • Review current compliance records
  • Upload documents for incomplete compliance items
  • Replace expired documents
  • Share compliance information with authorised parties
  • Monitor outstanding compliance requirements

Where a compliance item is incomplete or has expired, updated supporting documents can be uploaded directly through the Compliance Statement.

Once documents have been submitted, they are reviewed by the Certify Compliance Team and the compliance status is updated accordingly.

Compliance Management Best Practice

To maintain an accurate compliance profile, organisations should:

  • Review the Compliance Register regularly.
  • Renew licences and insurance policies before they expire.
  • Upload replacement documents promptly when requested.
  • Monitor incomplete compliance items and resolve them as soon as possible.
  • Use the Compliance Statement when providing evidence of compliance to clients or project stakeholders.

Keeping compliance records current helps reduce project delays, simplifies prequalification processes, and ensures your organisation remains eligible to work on projects managed through the Certify Network.
