UTILITIES
The Utilities section provides access to organisation-wide tools, integrations, and supporting functions that extend the capabilities of Onsite.
These functions can be used to:
- Connect external resources
- Record and communicate incidents
- Manage company-wide risk assessments
- Maintain non-project toolbox talks
- Export data for reporting and analysis
- View connected principal contractors
Utilities are typically used by Administrators and managers responsible for compliance, reporting, and system configuration.
Add Function
The Add Function feature allows Onsite to be extended with links to external resources, documents, web forms, and web-based applications.

This provides a flexible way to incorporate existing business processes and documentation into Onsite without requiring additional software development.
Examples include:
- Safe Work Method Statements (SWMS)
- Site Risk Assessments
- Incident Reporting Forms
- Plant and Equipment Registers
- Electrical Test and Tag Registers
- Safety Data Sheets (SDS)
- Company Procedures and Policies
- External Reporting Systems
Users can access these resources directly from Onsite, providing a single point of access for operational and compliance information.
Document Management
Where files are uploaded to a function, Onsite automatically converts and combines supported documents into a single PDF file named:
onsite.pdf
This simplifies document management and ensures users always access the latest consolidated version of the record.
Incident Alert
The Incident Alert function is designed to quickly notify relevant stakeholders when an incident occurs.

Alerts can be used for incidents involving:
- Personal injury
- Property damage
- Environmental harm
- Near misses
- Other safety-related events
The alert records key information including:
- Incident type
- Incident severity
- Immediate actions taken
- Assistance required
- Notification details
Notifications can be distributed by:
- SMS
This enables rapid communication and helps ensure that appropriate personnel are informed as quickly as possible.
Risk Assessments
The Risk Assessments function maintains risk assessments that are not associated with a specific project.
This is useful for managing:
- Company-wide activities
- Office-based hazards
- Workshops and depots
- Plant and equipment operations
- Recurring business activities
Each risk assessment records the location and details of the activity being assessed and can be reviewed or updated as circumstances change.
Toolbox Talks
The Toolbox Talks function stores toolbox talks that are not linked to a specific project.
This allows organisations to record:
- Company-wide safety meetings
- Office safety briefings
- Workshop toolbox talks
- Training sessions
- General workforce communications
The location and details of each toolbox talk are recorded as part of the meeting record.
Export Records
The Export Records function allows administrators to export data from Onsite into Microsoft Excel for reporting, auditing, and management analysis.
Available exports include:
- Compliance Items
- Electrical Test and Tag Records
- Plant and Equipment
- Projects
- Safety Data Sheets
- Site Attendance
- Site Inductions
- Subcontractors
- Training Records
Exported data can be used for:
- Compliance reporting
- Audit preparation
- Management reviews
- Performance analysis
- Data archiving
Principal Contractors
The Principal Contractors function displays Certify Network organisations that are connected to your account as principal contractors.
This provides visibility of:
- Existing principal contractor relationships
- Connected organisations
- Shared project arrangements
- Network participation across multiple projects
The information can assist contractors in managing relationships with clients and principal contractors operating within the Certify Network.
Utilities Best Practice
To maximise the value of the Utilities section:
- Use Add Function to centralise access to frequently used resources.
- Configure Incident Alerts to ensure timely communication of critical events.
- Maintain company-wide Risk Assessments and Toolbox Talks outside project-specific records.
- Regularly export records for management reporting and compliance reviews.
- Review connected Principal Contractors to ensure organisational relationships remain accurate and current.
The Utilities section provides the flexibility to adapt Onsite to your organisation's specific operational, safety, and compliance requirements while maintaining a single source of truth for important information and records.
